Project Administrative Assistant

We’re seeking a dedicated individual to join our client’s Real Estate department as a Project Assistant. This role plays a crucial part in supporting our team’s daily operations and ensuring the smooth progress of projects.

RESPONSIBILITIES:

  • Assess completeness of Real Estate project submissions and gather necessary information for each project
  • Manage the procurement and review of title commitments and certificates, ensuring accuracy
  • Coordinate environmental site assessment proposals and track their progress
  • Facilitate the preparation of legal documents by organizing working files for attorneys and legal assistants
  • Draft initial versions of easements, deeds, and other pertinent real estate documents
  • Establish and maintain filing and tracking systems for ongoing and upcoming projects
  • Aid in electronic document filing and recording with state agencies
  • Verify and approve conveyance documents for recording with the County Clerk’s Office
  • Review and process invoices, ensuring accuracy, and liaise with clients for payment coordination
  • Support in training newly onboarded staff in real estate procedures
  • Perform any other duties as required

QUALIFICATIONS:

  • Minimum Associates degree
  • 2-3 years of professional office experience
  • Excellent written and verbal communication abilities
  • Exceptional organizational skills with acute attention to detail
  • Quick learner with adept multitasking capabilities
  • Team player with the ability to collaborate effectively
  • Self-motivated and capable of working independently
  • Strong problem-solving skills coupled with analytical acumen
  • Proficiency in Microsoft Suite, particularly Excel and Word
