Office Admin/ Accounting Assistant
Our client is seeking an ambitious Office Admin/ Accounting Assistant to provide support to all office staff and the Accounting Department. This role includes traditional office duties such as calendar management and ordering catering, but will also include accounting responsibilities, such as AP/AR, invoicing, and reconciliations. This role has strong potential for growth within the firm.
Administrative-
- Oversee daily operations of the office, including answering phones and emails, directing correspondence as needed, and taking and delivering messages appropriately
- Schedule/handle all outgoing and incoming mail deliveries (Fed Ex, UPS, etc.)
- Maintain the neat and tidy appearance of the reception area, conference rooms, copy/supply areas, and break room
- Coordinate and prepare for occasional office events
- Maintain and update client/contact database in outlook
- Assist with IT issues that arise
- Manage project data, documents, and ensure updates are input
- Maintain Architecture and Interior Design licenses in various states
- Support marketing activities for various holiday gifts for clients/contacts and other special projects
Accounting-
- Assist with AP & AR tasks
- Create client invoices
- Reconcile statements and transactions
A degree is preferred but not required, along with 3+ years’ office or accounting experience. Professional presence, along with a friendly, positive attitude and excellent customer service skills are needed. Strong computer literacy with Microsoft Office Suite and QuickBooks is required to perform the essential duties in this role.
