General Office and Construction Project Administrator

As the General Office and Construction Project Administrator, you will be at the heart of our client’s restaurant operational and construction endeavors. Your responsibilities will include providing comprehensive administrative support to project managers, overseeing payroll processing, managing permits, and ensuring smooth project operations. This hybrid role demands strong organizational skills, attention to detail, and the ability to multitask effectively.

Essential Duties:

  • Assist project managers with administrative tasks such as document management, correspondence, and scheduling.
  • Prepare project reports, presentations, and proposals.
  • Manage restaurant permits to ensure compliance with federal, state, and local authorities.
  • Handle credit applications for vendors and manage credit accounts for project needs.
  • Act as the main point of contact for insurance brokers.
  • Assist in the creation of purchase orders.
  • Manage the Texas Workforce Commission (TWC) unemployment set-up process and payroll processing.
  • Update employee records and address payroll-related inquiries.
  • Oversee 401(k) administration, ensuring accuracy and resolving discrepancies.
  • Coordinate meetings, site visits, and inspections for construction projects.
  • Maintain project files and documentation in an organized manner.
  • Communicate with subcontractors, suppliers, and stakeholders to ensure project requirements are met.
  • Facilitate the building permit process and ensure compliance with regulations.
  • Handle the Texas Alcoholic Beverage Commission (TABC) permitting process for projects involving alcohol sales.
  • Establish new entities for restaurants, including Federal Employer Identification Numbers (FEINs).
  • Supervise office administrative support staff and manage hiring, firing, promotions, and assignments.

Education and Experience:

  • Associate’s degree required; Bachelor’s degree preferred.
  • Three to five years of related administrative support experience.

Additional Requirements:

  • Strong administrative skills with the ability to manage multiple projects simultaneously.
  • Intellectual curiosity and attention to detail.
  • Knowledge of payroll systems (e.g., Paycor, ADP, Paycom).
  • Discretion with confidential information.
  • Ability to work with limited supervision.
  • Excellent communication skills in English; bilingual (English and Spanish) preferred.
  • Availability at irregular hours, as required.
  • Strong interpersonal skills and ability to thrive in team environments.
