Executive Assistant

We are partnering with a growing boutique private equity firm to identify a polished, proactive Executive Assistant to support the Managing Partner and a small, high-performing team.

This is an excellent opportunity for someone who wants to go beyond traditional executive support. In addition to managing the Managing Partner’s day-to-day priorities, this person will play an important role in investor events, fundraising coordination, office operations, communications, and special projects.

The environment is family-first, collaborative, and fast-moving, and chemistry with the team is extremely important. The ideal candidate is a learner and go-getter who brings strong judgment, initiative, attention to detail, and a willingness to jump in wherever needed.

Responsibilities:

  • Manage the Managing Partner’s calendar, meetings, travel, scheduling priorities, and day-to-day needs.
  • Serve as a trusted gatekeeper and handle sensitive information with a high level of discretion.
  • Anticipate needs, track priorities, and ensure important action items and follow-ups don’t fall through the cracks.
  • Take ownership of special projects and open-ended initiatives from planning through completion.
  • Coordinate the firm’s annual investor meeting, dinners, offsites, board meetings, and other events.
  • Manage vendors including venues, hotels, catering, transportation, gifts, and other services.
  • Support fundraising activity by organizing prospect information, meeting follow-ups, diligence requests, and investor materials.
  • Oversee day-to-day office operations, including vendors, supplies, equipment, expenses, invoices, and basic technology needs.
  • Draft, proofread, and polish correspondence, presentations, and external-facing materials.
  • Assist with maintaining the firm’s website, LinkedIn presence, and other communications.
  • Help ensure the office and every external touchpoint reflect the polished, professional standard of the firm.

Qualifications:

  • Executive Assistant, Office Manager, or similar professional experience.
  • Experience within private equity, investments, financial services, wealth management, or a family office environment is strongly preferred.
  • Polished, professional, and highly trustworthy with excellent judgment and discretion.
  • Exceptionally organized with strong attention to detail and follow-through.
  • Proactive, resourceful, and comfortable taking ownership without significant direction.
  • Strong written and verbal communication skills.
  • Tech-savvy and comfortable learning new systems, productivity platforms, and AI tools.
  • Strong instincts when coordinating executive travel, restaurants, events, vendors, and professional experiences.
  • Comfortable working in a small, entrepreneurial environment where everyone pitches in.
  • Adaptable and composed when priorities change.
  • Bachelor’s degree preferred.
